SiteVisit is a video-first site visit management platform designed for asset managers and property management teams in the multifamily real estate industry. This Privacy Policy applies to:
- Users: asset managers, property managers, or other professionals using SiteVisit.
- Visitors: individuals who browse the SiteVisit website or interact with marketing content.
This policy does not cover tenants or residents, as SiteVisit is intended for business use by property management professionals.
2. What Information Do We Collect?
A. Information You Provide to Us
When you sign up for SiteVisit, we may collect:
- Account information — your name, email address, and profile photo, sourced from the identity provider you sign in with (e.g., Google, Microsoft, LinkedIn, or email/password)
- Billing details for paid users — collected and stored by our payment processor (Stripe); we never receive or store full card numbers
- Site visit content — the videos, narration transcripts, photos, action items, and reports you create while using SiteVisit
- Property and contact data you enter — property names, addresses, and the names/emails of onsite team members you assign tasks to
- Support requests — when you contact us for assistance
B. Information Collected Automatically
Like many digital platforms, SiteVisit collects usage data to improve functionality, including:
- Device & browser information (IP address, browser type, operating system)
- Usage metrics (features used, time spent on the platform, navigation behavior)
- Cookies & tracking technologies (see the “Cookies” section below)
C. Information from Third-Party Integrations
If you connect SiteVisit with other HappyCo products or third-party tools, we may collect data needed for those integrations to function.
3. How Do We Use Your Information?
We use your data to:
- Provide and improve SiteVisit — including running your video, audio, and transcript content through JoyAI to extract action items, draft summaries, pick evidence frames, and draft follow-up emails on your behalf
- Facilitate task assignment & reporting — including delivering the public report URL to your onsite team members
- Enhance customer support — responding to inquiries and resolving issues
- Analyze usage patterns — improving user experience and platform efficiency
- Send service-related updates — including the weekly engagement digest, follow-up email drafts, feature announcements, maintenance notices, and security alerts
- Comply with legal obligations — where required
We do not sell your personal information. We do not train AI models on your content. JoyAI uses your data to do her job on your behalf, not to learn from it.
4. How Do We Share Your Information?
We may share information with:
- Service providers we rely on to deliver SiteVisit, including:
- • Clerk — identity and authentication
- • Stripe — payment processing
- • OpenAI — AI processing of audio transcription and action-item extraction (data is not used for model training under our agreement)
- • Resend — transactional and digest email delivery
- • Cloud infrastructure providers for hosting and storage
- Recipients you choose — when you send a report via email or share a public report link, the recipients you specify can view the report (and items they mark as complete)
- Other HappyCo products — if you connect SiteVisit with another HappyCo product, relevant data may be shared between them
- Legal & compliance requirements — if required by law, to enforce policies, or protect rights
5. Cookies & Tracking Technologies
SiteVisit uses cookies and tracking technologies to improve user experience. These may include:
- Essential cookies — required for sign-in and core functionality (set by us and by our authentication provider)

- Marketing analytics tools — used on our marketing pages to measure campaign performance
